Position Status: Full-time, Non-Exempt/Hourly (SCA)

Location: Janesville, WI (Hybrid work schedule – 3 days onsite and 2 days remote)

PRIMARY DUTIES AND RESPONSIBILITIES

The General Clerk II position requires the application of experience and judgment in selecting procedures to be followed, and searching for interpreting, selecting, or coding items to be entered from a variety of document sources. The individual will perform tasks using various standardized source documents that have been coded and require little or no selecting, coding or interpreting of data. Problems such as erroneous items and codes, or missing information are resolved at the supervisory level.

POSITION RESPONSIBILITIES

  • Prepares source data for entry by opening and sorting mail, verifying and logging receipt of data, and obtaining missing data.
  • Records data by operating data entry equipment, coding information, and resolving processing problems.
  • Protects organization's value by keeping sensitive information confidential.
  • Sorts and files records.
  • Proofreads records or forms.
  • Reviews and verifies images, indexing, and data extraction quality from multiple media sources (e.g., paper, CDs, microfiche, microfilm, facsimile, direct uploads)
  • Performs paper to image reconciliation of centralized mail faxes and packets.
  • Reconciles image upload data, re-scan requests and other documents as required.
  • Validates process step compliance in source material conversion.
  • Assists in periodic formal Quality Audit reviews and in the development of QA/QC reports and internal process improvement.

KEY REQUIREMENTS AND QUALIFICATIONS

  • U.S. Citizenship
  • High school diploma or GED and a minimum of two years of administrative or related experience.
  • Experience with document conversion, digitization, records management, and centralized mail processing is preferred.
  • Prior experience working with the Department of Veterans Affairs is desired.
  • Must be proficient in using MS Office Suite (Word, Excel, and Outlook).
  • Must have data entry and typing skills.
  • Must have the ability to communicate effectively both orally and in writing.
  • Must be able to work independently, perform as a self-starter and meet critical deadlines.
  • Must be able to maintain confidential and sensitive information.
  • Must have excellent attention to detail and be thorough.
  • Must be able to analyze and document information.
  • Must undergo a government background investigation to obtain and maintain government security clearance.

OTHER REQUIREMENTS

The assigned tasks are routine and repetitive. This position generally performs work in a normal office environment where there is minimal exposure to unpleasant and/or hazardous working conditions. Job assignments may require working at client sites where working conditions may vary. Travel may be required.
