The Opportunity

The Project Coordinator is an administrative role responsible for supporting the successful planning, execution, and completion of various projects within our healthcare organization. The incumbent will report to the Senior Marketing Specialist and will monitor project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings and ensuring that project deadlines are met promptly.

Key Responsibilities:

  • Supervise current projects and coordinate all team members to keep workflow on track
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and emails
  • Participate in project design meetings and propose improvements if necessary
  • Evaluate potential problems and technical hitches and develop solutions
  • Plan and manage team quarterly deliverables, project schedules, and new information
  • Adhere to budget by monitoring expenses and implementing cost-saving measures
  • Support AEP collateral distribution, and tracking of membership
  • Oversee collateral development including fliers, scripts, and other media
  • Collaborate with team members and outside vendors as required to meet project expectations
  • Demonstrate ability to manage time and organize projects efficiently
  • Track ongoing projects
  • Work with print vendors to ensure quality control and monitor budget


Education & Experience

  • Bachelor’s degree preferred
  • Bilingual (Spanish/English) is highly preferred
  • Prior experience in managing projects preferred
  • Proven ability to work with Google Suite software or equivalent (MS Excel and MS PowerPoint)
  • Prior experience with project management platforms preferred (e.g., Monday.com, Wrike, Asana, etc.)
  • Ability to work independently with minimal supervision
  • Excellent organizational, time-management, and multi-tasking skills with strong attention to detail
  • Demonstrated resourcefulness, initiative, and results-oriented capabilities
  • Must be able to work professionally with confidential information
  • Excellent written and verbal communication skills
  • Ability to work cross-functionally with multiple teams
  • Ability to shift focus, multi-task, and prioritize in a rapidly changing environment.
  • STRONG reasoning and critical thinking required
  • MUST be results-oriented with a focus on quality execution and delivery
