Job Title: Medical Office Assistant/Scheduler

Job Summary: We are seeking a highly organized and detail-oriented Medical Office Assistant/Scheduler to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. The Medical Office Assistant/Scheduler will be responsible for handling various tasks, including managing calendars, coordinating meetings, and transcribing documents. Responsibilities: - Provide administrative support to ensure smooth daily operations
- Manage calendars and schedule appointments
- Coordinate and schedule meetings, including preparing agendas and taking minutes
- Answer phone calls and respond to inquiries in a professional and courteous manner
- Prepare and edit correspondence, reports, and presentations
- Proofread documents for accuracy and completeness
- Assist with event planning and coordination
- Maintain office supplies inventory and place orders when necessary
- Perform general clerical duties, such as filing, photocopying, and scanning
Requirements: - Proven experience as an administrative assistant or similar role
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proficient in using SharePoint, Google Suite (Docs, Sheets, Slides) and other office software
- Correct grammar, spelling and punctuation in all written communication
- Attention to detail and problem-solving skills
- Ability to handle sensitive information with confidentiality
- Knowledge of HIPAA and medical office procedures is a plus
- Ability to transcribe documents accurately
- Professional tone and clarity when drafting emails, reports, documents and answering phones
Qualification & Education: - High School Diploma/ Associate Degree preferred
- At least 2 years of related experience
- Healthcare experience preferred
Physical Requirements - Seeing: Must be able to see well enough to read emails, documents, reports, etc.
- Hearing: Must be able to hear well enough to communicate with other staff, clients, vendors, etc.
- Standing/Walking: Must be able to move about the office, including up and down stairs
- Climbing/stooping/kneeling: Must be able to stoop or kneel to pick up small items, file documents, etc.
- Lifting/pulling/pushing: Minimal lifting required in this position
- Fingering/grasping/feeling: Must be able to type and use technical sources.
Working Conditions: Normal working conditions absent extreme factors
